Telephone system for small business; should you be using Hosted PBX?

Your business is growing, you are adding staff and you need larger premises. Decision made, you are moving. It is a great time to consider Hosted PBX.

Why is it a good time to switch from the traditional approach?

Firstly you don’t have to consider infrastructure to install an in-house PBX which means you don’t need space for it and you don’t have to pay for it.  With internet connectivity in place, and let’s face it which business is without the internet, you nearly have all you need for your telephony.  VoIP phones are a good idea, they are not absolutely necessary, but they do have good features and if you have more than just a few staff they are a good asset.

As a growing business you may not move premises again in the short term but you could add more staff.  With the traditional PBX operating via the PSTN, adding extensions can be costly, usually require a technician onsite to do the work or maybe even a completely new PBX which is costly.  With Hosted PBX someone on staff can do the work for little or no cost.

Chances are with expansion you have more mobile staff spending more time out of the office and having your PBX in the Cloud offers functionality not available with traditional systems such as a single number for all voice calls.  The single number means they can be reached on the office phone, their smartphone or via a “soft” phone on their laptop.

No more missed calls.  Well if they do miss a call then there is voice to email where all voice messages are converted to text and sent by email which can of course be accessed on a smartphone or laptop.

A growing business probably means more sophisticated communication features are required, video conferencing for instance, as well as “do not disturb”, “follow me”, direct connection to a contact in your MS Outlook list, auto attendant and internet faxing.

Other features to enhance your communications are call routing and call queues and another aspect particularly helpful to mobile staff is the ability to use all the “in-house” features while they are away from the office.

No time to waste?  Flexibility, scalability and not being concerned about costs means you are able to respond rapidly to a change in your communication requirements.
